Regular Season Game Rescheduling Policy

 

This applies to U4-U10 and U19 Coed.  U11-U16 scheduling and rescheduling is performed by TYSA and BAYSA.  Please review their processes.

·         A game will only be rescheduled if the team requesting the reschedule would not have the minimum number of players available to field a team for the age division.

·         Acceptable conflicts are community, school or Church related functions. 

·         If one team does not agree to a reschedule and shows for the originally scheduled game while the other team does not, then the team present will be declared a 3-0 winner by forfeit.

·         If a team forfeits two or more games in a season, for any reason, the coach and team may be subject to KSC Discipline & Protest Committee action.

Game reschedules can be handled within the Affinity software by the coaches.  Here are the steps that need to be taken:

 

  1. Access Affinity web site.
  2. Review the field usage.  This can be found by looking at the schedule for your age group.  Find an open timeslot where the game can be played.  Our Saturday timeslots are 8:00, 9:15, 10:30, 11:45, 1:00, 2:15, 3:30, and 4:45.  Sunday timeslots are 1:00, 2:15, 3:30, and 4:45.  Saturday is preferred.  Fields are assigned to coaches for practice on Monday through Friday, so games will not be rescheduled during the week.
  3. Once you find a time that works for your team, the coach needs to login to Affinity.
  4. Under Tournament Applications / Game Scoring section, click on "Schedules / Game Scoring" link.
  5. Click on the ?Reschedule Game? button below the game in question.  NOTE: This button will disappear 4 days before the scheduled date.
  6. Enter your Requested Date, Time, Field, and Reason and hit the ?Send Request? button.
  7. This will email the Reschedule Request to the opposing coach.
  8. The opposing coach will need to Login to the system and go to their schedule to respond (steps 2 and 3 above).
  9. The game in question will have a note of ?Reschedule in progress?.
  10. The opposing coach will need to click on the ?View Reschedule History? button and either Accept, Reject (Cannot Reschedule), or Counter (Send an Alternative Request)
  11. If a Counter is sent, the originating coach will need to repeat steps 7-9.  If there are too many counters or the offer is ever rejected, it will be locked.  If a reschedule is still needed, then the VP of Scheduling will need get involved to unlock the request in the system or move the game.

 

It is always a good idea to also communicate with your opposing coach outside of the software.  If you click on your opposing team name, it will show the coach's name and phone numbers.  If you are logged into the system, it will show their address and email as well.
