Reschedule Policy

Regular Season Game Rescheduling Policy

This Policy is applicable for age groups U4-U10 and U19 Coed games only.

U11-U16 scheduling and rescheduling is performed by TYSA.  Please see TYSA website for additional information.

IMPORTANT NOTES:

  1. 1.

    It is NOT mandatory for an Opposing Coach to accept a reschedule request.  However, it should be considered and accepted out of courtesy.

  2. 2.

    Games MUST be rescheduled and confirmed with the Director of Scheduling prior to the Wednesday before the game date.

  3. 3.

    Fields are assigned to Coaches for practice Monday through Friday.  Games will not be rescheduled during the week unless a “whole” field is available.  There will be no games held on Fridays – no exceptions.

Games will only be rescheduled if:

  1. 1.

    Meyer Park and/or Burroughs Park fields are unplayable due to weather, or

  2. 2.

    A team does not have the minimum number of players available to field a team due to acceptable conflicts.  Acceptable conflicts: Community, School and/or Church related functions.

Weather Related Reschedules:

Weather related reschedules will be handled by the Director of Scheduling.  These games will be rescheduled for a later date.  The Director of Scheduling will send an email notice to all teams affected with the new game details.

Team Related Reschedules:

Team reschedules must be handled by the Coaches.

The Coach requesting the reschedule must:

  • Find an open field for play
  • Notify the Opposing Coach
  • Notify the Director of Scheduling

Team Related Reschedules (cont’d):

Game reschedules are handled within the Affinity software by the Coaches.  The steps that need to be taken are as follows:

  1. 1.

    Requesting Coach responsibilities:

    1. a.

      Find a Date/Time that works for your team.

      1. i.

        Review field usage.  This can be found by looking at the schedule for your age group.

      2. ii.

        Find an open timeslot where a game can be played.

      3. iii.

        Saturday timeslots are 8:00, 9:15, 10:30, 11:45, 1:00, 2:15, 3:30, and 4:45.  Sunday timeslots are 1:00, 2:15, 3:30, and 4:45.

    2. b.

      Send Opposing Coach reschedule request.

      1. i.

        Login to the Affinity system using your Coaches username and password.

      2. ii.

        Under Tournament Applications / Game Scoring section, click on “Schedules / Game Scoring” link.

      3. iii.

        Click on the “Reschedule Game” button below the game in question.  NOTE: This button will disappear 4 days prior to the scheduled game date.

      4. iv.

        Enter your Requested Date, Time, Field, and Reason for the reschedule and hit the “Send Request” button.

      5. v.

        A reschedule request email will be sent to the Opposing Coach.

  2. 2.

    Opposing Coach responsibilities:

    1. a.

      Login to the Affinity system using your Coaches username and password.

    2. b.

      The game in question will state “Reschedule in progress”.

    3. c.

      Click on the “View Reschedule History” button and either Accept, Reject (Cannot Reschedule), or Counter (Send an Alternative Request).

  3. 3.

    Requesting Coach responsibilities:

    1. a.

      If the Opposing Coach accepts the reschedule request, the Requesting Coach needs to email the Director of Scheduling with the final details.

    2. b.

      If the Opposing Coach rejects the reschedule request, the game will be played at the originally scheduled date/time.

    3. c.

      If a counter is sent, the Requesting Coach will need to repeat above steps until a mutually agreed upon date/time has been established.  The Requesting Coach needs to email the Director of Scheduling once the new date/time has been fully agreed upon by both Coaches.

It is always a good idea to communicate with the Opposing Coach outside of the software.

    Login to the Affinity system using your Coaches username and password

  2. 2.

    Click on the opposing team name, it will show the coach’s name, numbers and email address.
